What counts as a "send"?+
A send is one email that goes out, and every step of a campaign counts. So a four step campaign delivered to one prospect is four sends, not one. We meter sends rather than contacts or leads, because that's the number that actually reflects your sending volume, and it's the only thing that changes between our plans.
What's the difference between the three plans?+
The core difference is how many sends you get each month: Starter is $97/mo for 100,000, Scale is $247/mo for 300,000, and Infra is $497/mo for 500,000. Beyond volume, Scale adds full white label and unlimited workspaces, and Infra adds dedicated sending infrastructure. Everything else, including warmup, mailboxes, seats, leads, the master inbox, API, webhooks and MCP, is unlimited on all three.
Is everything really unlimited?+
Yes, and we mean it. Unlimited team members, seats, leads, contacts, email warmup and client access, plus the master inbox, API, webhooks and MCP server on every plan. Mailboxes are effectively unlimited too, with a fair use cap of 25,000 connected at any one time. The only thing metered is your monthly sends, and the only two features not on every plan are white label (Scale and Infra) and dedicated infrastructure (Infra).
Do you charge per seat, per user, or per client?+
Never. Team members, seats and client access are all unlimited on every plan, with zero per-seat or per-client fees. It's a deliberate choice. A lot of tools charge per user, which punishes you for growing your team or your client roster. With HotHawk you add as many people and clients as you want, and your bill doesn't change.
How does sending work, and do I need my own infrastructure?+
You connect your own mailboxes and HotHawk sends through them. Connect Google Workspace or Microsoft 365 with one click via OAuth, or connect any provider over SMTP and IMAP, including third-party sending infrastructure. You can set them up yourself, or ask your infrastructure provider to connect them on your behalf. Either way your emails go out over your own mailboxes, not ours, so your sender reputation stays in your hands where it belongs.
Who owns deliverability and sender reputation?+
You do, and that's a good thing. Because email goes out through your own domains, mailboxes and chosen infrastructure, your inbox placement reflects your setup, not a shared platform IP pool where one bad sender can drag everyone down. HotHawk gives you unlimited warmup and the tools to send well, and the reputation you build is yours to keep.
What is "dedicated sending infrastructure" on the Infra plan?+
On Infra we provision a dedicated, isolated sending setup for you: a dedicated server, dedicated IPs and isolated sending lanes, so your sending environment is yours alone with no noisy neighbours. It's the same dedicated-infrastructure approach agencies pay premium prices for elsewhere, included on Infra at a lower price. Starter and Scale run on our standard shared platform, which works great for most senders.
What if I need more than 500,000 sends?+
Easy, add more whenever you want. The bolt-on is 100,000 extra sends for $70/mo, and it stacks as many times as you need on any plan. So you can grow your volume without jumping a whole tier, and if you're sending serious volume on Infra you can keep stacking. Need a very large custom volume? Just reach out and we'll sort it.
Do unused sends roll over, and what happens if I hit my limit mid-month?+
Sends reset each billing cycle and don't roll over, so it's worth picking a plan that fits your typical monthly volume. If you're approaching your limit, add a 100,000 send bolt-on for $70/mo and keep going, with no hard stop and no scramble. You can add bolt-ons or change plans anytime from your billing settings.
Is there a free trial?+

Upgrades take effect right away so you get the extra volume immediately, and downgrades and cancellations take effect at the end of your current billing cycle.
Do you offer refunds?+
If something isn't right, talk to us. We'd rather fix the problem than lose you. When you cancel, you keep access through the end of the period you've already paid for. We don't offer prorated refunds for partial months, which is why the 7 day free trial is there to help you decide before you commit.
I'm switching from another cold email tool. Is it hard to move?+
Not really. Because you connect your own mailboxes, the same ones you're already sending from, there's nothing to migrate at the infrastructure level. Reconnect your mailboxes via OAuth or SMTP, import your leads and campaigns, and you're running. Your warmup and reputation live on your own domains, so they come with you. Keep your old tool live for a few days during the switch if you want a clean overlap.
Is my data secure, and can you read my inbox?+
We take security seriously, and we're not in the business of reading your email. When you connect via OAuth we never see your password. You grant access through Google or Microsoft, and you can revoke it anytime. The master inbox syncs your campaign replies so you can manage them in one place. Your data is yours alone while your account is active, and if you cancel it's permanently deleted from our servers.
